3PL Software Pricing Explained: What You Should Actually Pay in 2026
3PL software pricing ranges from free to $1,000+/month. Here's what drives costs up, what to watch out for, and what small warehouses should actually pay.
3PL Software Pricing Explained: What You Should Actually Pay in 2026
If you’ve ever tried to compare 3PL software pricing, you already know the problem: most vendors don’t publish prices, the ones that do bury the real number under modules and add-ons, and the quotes you eventually get back range from $99 a month to $5,000 a month for what looks like the same product.
This guide breaks down how 3PL software pricing actually works in 2026 — the two main pricing models, what enterprise vendors really charge, the hidden fees that double your bill, and what a small warehouse running under 5,000 orders a month should reasonably expect to pay.
The Two Pricing Models in 3PL Software
Almost every 3PL platform falls into one of two camps:
1. Per-Order Pricing
You pay a base fee plus a per-order charge — usually somewhere between $0.05 and $0.25 per shipment, sometimes with overage tiers. On the surface this feels fair: you only pay for what you use.
In practice, per-order pricing punishes growth. The more orders you ship, the more your software costs, and the harder it gets to forecast. A 3PL that scales from 2,000 to 10,000 orders in a quarter can see its software bill quintuple overnight, with no extra functionality.
It also creates an awkward incentive: every order you accept costs you money before you’ve billed your client. If you under-price your pick-and-pack, the per-order software fee can quietly turn a profitable client into a money-loser.
2. Flat Monthly Fee
You pay a fixed monthly subscription tied to something predictable: number of users, number of clients, or a usage tier (e.g., “up to 5,000 orders per month”). When you cross a tier, you upgrade — but you always know what you’ll pay this month and next.
Flat pricing is almost always better for small and growing 3PLs. Your software cost becomes a known operating expense, not a variable one that scales with revenue.
If you have to choose, prefer flat-fee pricing. The only situation where per-order makes sense is extremely low volume (under a hundred orders a month) where the per-order rate works out cheaper than any flat plan — and even then, you’ll outgrow it fast.
What Enterprise 3PL Vendors Actually Charge
Legacy 3PL software — Extensiv (3PL Central), Logiwa, Da Vinci, HighJump, Manhattan SCALE — was priced for warehouses with seven-figure budgets. Real-world quotes in 2026 typically look like this:
- Base subscription: $1,000 to $5,000 per month, often billed annually.
- Per-order fees: $0.05 to $0.25 per shipment on top of the base, with tiered overages.
- Per-seat licenses: $50 to $200 per warehouse worker, per month. A 10-person team can add $1,000–$2,000/month before any orders are shipped.
- Implementation / onboarding: A one-time fee of $1,500 to $25,000+, depending on the vendor and the complexity of your setup.
- Integrations: Some integrations (Shopify, Amazon, ShipStation, NetSuite) cost extra — usually $50–$200 per integration per month.
- Premium support: Real chat or phone support is often gated behind the highest tier, sometimes adding $500+/month.
- Annual contract: 12-month minimums are the norm. Month-to-month, when offered, comes with a meaningful price bump.
Add it up and a small 3PL can easily be quoted $3,000 to $8,000 per month, all-in, plus a five-figure implementation fee, for software that — feature-for-feature — does roughly the same job as a $200/month modern alternative.
The reason these numbers exist isn’t that the software is more capable. It’s that enterprise vendors built their pricing around the customers they had ten years ago: large 3PLs with dedicated procurement teams that expect a sales cycle and a contract.
Hidden Fees to Ask About Before Signing
Before you sign anything, get explicit answers to these questions in writing:
- Is there a setup or implementation fee? And if so, what does it actually cover?
- Is there a per-order or per-shipment fee on top of the base subscription? What about overage charges if you exceed a tier?
- Are users / seats charged separately? If yes, how much per user, per month?
- Are integrations included, or are they paid add-ons? Get the full list of which integrations are free vs. paid.
- Is API access included on my plan, or do I need to upgrade to use it?
- Is the client portal included, or is it a separate module?
- What about billing — invoicing, storage billing, auto-pay? Standard or add-on?
- Is support included on my plan, or only on the highest tier?
- What’s the minimum contract length? What does pricing look like month-to-month vs. annual?
- What happens if I want to leave? Are there exit fees, data export charges, or migration costs?
If the vendor can’t or won’t give you straight answers in writing, that’s the answer.
