Why does my inventory count look wrong?
How to investigate inventory discrepancies between the platform, your store, and physical stock.
The platform tracks three inventory states for every SKU: On Hand (physical stock), Reserved (committed to unshipped orders), and Available (On Hand minus Reserved). Most "wrong count" reports are actually a misread of which state is being shown.
Check the inventory log
Open the product in the catalog and click View History. Every change — receipts, shipments, manual adjustments, returns — is recorded with a timestamp and the user who made it. This audit trail almost always explains the discrepancy.
Common causes of mismatches
- A bulk receipt was entered without the correct lot or warehouse, sending stock to the wrong location.
- Orders are syncing from a store but not deducting because the SKU does not match exactly.
- A return was processed as "restock" but the physical units were never put back on the shelf.
Run a physical count
For high-value SKUs, periodic cycle counts catch shrinkage and miscounts before they snowball. Use the Transfer Stock dialog to record adjustments with a reason code.
